Shine Om needs to gather and use certain information about individuals. These can include customers, suppliers, business contacts, employees, and other people the organisation has a relationship with or may need to contact. Shine Om is committed to upholding your privacy and will take care with your personal data. We will only use information about you in accordance with the Data Protection Act 1998, General Data Protection Regulations 2018 and other relevant legislation and regulations. Our Privacy Policy is set out below; please read it with care. It explains the following: •What information we may collect about you •How we may use that information •In what situations we may disclose your details to third parties •Your rights to access the data we collect about you Data security – and how we collect your data When we collect personal data from you we store it under strict safekeeping and confidentiality measures. We use technical and organisational security measures to protect it against misuse. Any external providers we use to process your data (for instance our class booking system (Wix) or marketng software , must also comply with all relevant legislation about how they store and process your data. Any time you disclose your personal information to us via our website, in person, by phone or in writing, you will be asked to give us your consent on how that information it to be used. We will collect, store and process your personal information in the manner described in this notice. The information we hold will be accurate and up to date within our knowledge. What we do with your data and what we don’t do We will keep information which identifies you only if you attend classes, sign up to our mailing list, or make any other online or in-house purchase, or if you work with us in a paid or voluntary capacity. We process your personal information for the following: •class registration lists for events (courses, classes, workshops, talks etc.) •so that we may contact you in case of issues with changes to classes; payment and similar circumstances •feedback, research and statistical analysis. •And, only with your prior consent, for communication about Shine Om’s activities, projects and services (e.g. via our e-newsletter). We do not share or sell your personal information for other organisations to use for their own purposes. When we run activities in partnership with other organisations we will only share your data with them if you have given us permission to do so. Children, Young People and Vulnerable Adults We are committed to safeguarding children, young people and vulnerable adults. An important part of doing this is to protect their privacy. If you are age 16 or under, a parent or guardian’s permission will be required before providing any personal information. We will always require their signature on any documentation. In cases where an adult has given another person permission to speak on their behalf, for instance, a carer, we will ask this person to give consent for Shine Om to hold the adult’s personal data, as well as proof of permission given and proof of identification. Marketing and newsletters Our e-newsletters will give you news and offers related to Shine Om and items we think will be of interest to you. We may use a third party provider to send you newsletters. We will not sell, rent or lease our newsletter subscription lists to any third parties. We may use code within our e-newsletter template to identify which messages you have opened and which links you have clicked on within it to better tailor any future communications. You can also contact us if you wish to have no further contact from us on any subject. We will remove your details from all subscription lists. When you visit the website We use Google Analytics cookies to track anonymous usage statistics but we do not collect any personal information that can be used to identify you. This data helps us analyse web page usage and improve our website in order to tailor it to our audience needs. Google Analytics stores information about what pages you visit, how long you are on the site, how you got there and what you clicked on. If cookies are used they will only be used to assist the purposes set out in this Privacy Policy, but cookies will not be used if we do not consider them to be necessary. External links Our website contains links to other websites. Although the majority of them are our partner organisations we are not responsible for the privacy practices of these and you should read their own privacy information. The information and usage described here applies only to personal data collected by Shine Om. Opting out We will always keep your rights and interests at the forefront. You have the right to opt out of any of this processing at any time. If you wish to do this, you can use the following options: •opt out of receiving our e-newsletter (general news & special offers) by using the ‘unsubscribe’ link at the bottom of any e-newsletter •opt out of our notifications & reminders mailing list (booking confirmations, class cancellation notifications and e-receipts) by updating your account preferences •contact us to request to unsubscribe from any other emails by using the contact details below. Please bear in mind that if you opt out, this may affect our ability to carry out tasks above that are for your benefit. Access to your information and opting out You have the right to ask for a copy of the personal information that we hold about you, to correct any inaccuracies in that information or ask us to delete such records. If you find any inaccuracies, we will correct them immediately. If you ask us to delete your records we will destroy all of your personal information that we hold in our files. You have the right to complain to the Information Commissioner’s Office if we have not been able to satisfactorily resolve a problem about our handling of your personal information. Terms and Conditions
Shine Om Terms and Conditions Please read these Terms and Conditions carefully before you start to use our Website or our Apps and before purchasing or booking any services through our Website or our Apps. By using our Website or our Apps, you confirm that you accept these Terms and Conditions and that you agree to comply with them regardless of whether you choose to register with us. All participants must sign the Shine Om Health & Safety Waiver on their Shine Om Account prior to attending an in-studio or online class. It is the responsibility of the client to ensure they have understood and signed the waiver and are in a good state of health before participating in a class or event. Online Services Terms of Use Account creation You warrant that: •The Personal Data which you are required to provide when you register as a customer is true, accurate, current and complete in all respects; and •You will notify us immediately of any changes to the Personal Data by updating these details on your online account. •You agree not to impersonate any other person or entity or to use a false name or a name that you are not authorised to use. Pricing Information displayed on the website related to pricing and service availability is subject to change by Shine Om without notice. Online bookings •Pre-booked classes must be paid for in advance. •We encourage you to sign into online classes a minimum of 5 minutes prior to the class start time. Payment •If the booking is paid by debit or credit card, you authorise Shine Om Limited to debit the card provided by you without notice to you. Authorised debits include, but are not limited to, single drop in classes, class packs, monthly memberships and gold up front memberships, workshops and events. •We are cashless studio so that the check-in process quicker and easier for clients. When paying you can use any major credit or debit card. You can also save your card to your account and pay online for greater convenience. Only exceptional circumstances will we accept cash and it must be by the approval of the studio manager. Monthly Memberships •Monthly Gold Memberships is a rolling monthly contract and can be cancelled with 1 months’ notice in line with your payment date. •Activates upon date of first visit and payment auto renews on that date thereafter. •Pass valid for use by named pass holder only. •Not eligible for refund or transfer. •Holds must be requested by emailing janet@shineom.me, and 48 hours’ notice must be given prior to the hold start date. Holds cannot be backdated and must be in monthly increments. •Holds requested for medical reasons may exceed 60 days if accompanied by a doctor’s note. Class Pack Expiries •10 Classes: Expires 3 months after the first date of booking. •5 Classes: Expires after 6 weeks from the first date of booking •Newbie Week Pass: Expires 7 days after the first date of booking •Drop-in: 1 month expiry from date of first visit. Cancellation policies Classes •If are booked into a class but can no longer attend, you must cancel the class. To cancel you must do this through your Shine Om profile. •Shine Om’s class cancellation policy is minimum of 1 hour for standard scheduled classes.. If you do not cancel with at least 1 hours prior notice, this will constitute as a late cancel and your credit will not be returned to your account. If you have a monthly membership you may be charged £5. •If you ‘Early cancel’ (up to 1 hours before class) the class credit will automatically be returned to your account. •If a class is fully booked, you can join the waitlist and you will be automatically enrolled if anyone cancels. The waitlist closes 10 minutes before the class starts. •If your class is cancelled by Shine Om your credit will be returned to your account. If you are on a monthly unlimited membership, no credit will be returned. •If you are more than 5 minutes late you will not be admitted, no exceptions, and this will be treated as a late cancellation. •Please always check in at front desk before your class, if you are a no-show we will charge you as a late cancel. •If you need to cancel your online class, Shine Om’s online class cancellation policy is 1 hour. Workshops & Courses •Less than 24 hours notice: No credit or refund will be given. •More than 24 hours: full refund or studio credit •If a course or workshop is cancelled you will be offered either a cash refund or the option of being transferred to an alternative event. Once you have committed to a course or workshop, we recommend that you attend the scheduled number of sessions to get the most out of the programme. •We are unable to give refunds in the case of cancelled transport (trains, aeroplanes etc). Please ensure you take out relevant insurance to protect yourself against this. •Refunds are not possible to be made retrospectively. If we have not heard from you by 24 hours following the end of a workshop we will not be able to process any refunds. •If your workshop is cancelled by Shine Om, we will notify you as soon as we have knowledge of the cancellation and will refund you the full £ (sterling) amount you have paid us in respect of the workshop. We will not be responsible for any additional expenses which you may have incurred in respect of the workshop, including travel, accommodation or exchange rate losses. Teacher Training •If you cancel your space on a training, any deposit, or monies paid up to the point of cancellation are non-refundable. Unless we are able to find another student to take your place, then a refund will be issued minus a 20% admin fee. •Spaces are non-transferrable. •If you cannot complete the training for any reason we will transfer you on to the next training, no refunds can be given. •If your training is cancelled by Shine Om, we will refund you the full £ (sterling) amount you have paid us in respect of the training. We will not be responsible for any additional expenses which you may have incurred in respect of the private class, including travel, accommodation or exchange rate losses. Retail •Retail items purchased at the studio, or online, can be exhanged if returned within 30 days of purchase. Items must be unused and undamaged. Promotions & discounts •Corporate discounts can be provided on request. •Promotions cannot be combined or backdated. Gift cards •Please protect your Gift Card and treat it as cash; we cannot replace lost, stolen or damaged cards. •The gift card will expire 12 months from purchase. We will not refund any balance remaining and we will invalidate the card. •Gift cards cannot be exchanged for cash. We do not give change or refunds on gift cards or e-gift cards. •If you are using a Gift Card online and the total order value is less than the value of the card, any balance will remain on the card and may be applied to future purchases, provided that the card has not expired. However a Gift Card cannot be used for partial payment online. •We reserve the right to refuse to accept a gift card which we deem to be tampered with, duplicated or which otherwise is suspected to be affected by fraud. •We reserve the right to amend the gift card and e-gift card terms and conditions from time to time, where we consider it reasonable and necessary to do so. Memberships •Monthly memberships can be cancelled with 30 days notice by emailing janet@shineom.me Intellectual property and right to use You acknowledge and agree that all copyright, trademarks and all other intellectual property rights in all material or content supplied as part of the Website shall remain at all times vested in us or our licensors. You are permitted to use this material only as expressly authorised by us or our licensors. You acknowledge and agree that the material and content contained within the Website is made available for your personal non-commercial use only and that you may (if necessary to make a Purchase) download such material and content onto only one computer hard drive for such purpose. Any other use of the material and content of the Website is strictly prohibited. You agree not to (and agree not to assist or facilitate any third party to) copy, reproduce, transmit, publish, display, distribute, commercially exploit or create derivative works of such material and content. You grant to us a non-exclusive, perpetual, irrevocable, royalty-free, worldwide licence to use (including but not limited to publishing, exploiting and modifying) any material you email, post or submit to us. Indemnity You agree fully to indemnify, defend and hold us, and our officers, directors, employees, agents and suppliers, harmless immediately on demand, from and against all claims, liability, damages, losses, costs and expenses, including reasonable legal fees, arising out of any breach of the Conditions by you or any other liabilities arising out of your use of this Website, or the use by any other person accessing the Website using your shopping account and/or your Personal Information. Our rights We reserve the right to: •modify or withdraw, temporarily or permanently, this Website (or any part thereof) with or without notice to you and you confirm that we shall not be liable to you or any third party for any modification to or withdrawal of the Website; and/or •change the Conditions from time to time, and your continued use of the Website (or any part thereof) following such change shall be deemed to be your acceptance of such change. •Cancel classes in any event. It is your responsibility to check regularly to determine whether the Conditions have been changed. If you do not agree to any change to the Conditions then you must immediately stop using the Website. Compliance with laws The Website may be used only for lawful purposes and in a lawful manner. You agree to comply with all applicable laws, statutes and regulations regarding the Website and any transactions conducted on or through the Website. Limitation of liability While we will use reasonable endeavours to verify the accuracy of any information we place on the Website, we make no warranties, whether express or implied in relation to its accuracy. Shine Om Code of Conduct
Shine Om’s Students' Code of Conduct April 2025 Shine Om’s code of conduct is underpinned by traditional yoga ethical principles. The Yamas and the Niyamas in Patanjali’s Yoga Sutras are living principles that we believe encourage awareness, compassion, and peace. We welcome everyone at Shine Om, whatever your faith, gender, sexual orientation, ability, race, or background. Our code of conduct sets the standard we ask of our students so that everyone can practise movement in a supportive and non-threatening environment. 1. To behave in a responsible manner that helps foster mutual respect, understanding and courtesy between all members of the Shine Om community – teachers, staff, and students alike. 2. To behave and communicate in ways that do not unreasonably offend others. Examples of unreasonably offensive behavior include abuse or obscene language and engaging in any form of discriminatory or anti-social behavior. 3. To care for the environment at Shine Om by respecting our buildings, spaces and facilities. 4. To arrive on time to classes. 5. To ensure any activity you engage in using the Internet and social media refrains from causing offense, and that could be regarded as bullying or harassment. 6. To be mindful that not everyone wants to be on social media, and so refrain from recording content of live classes. 7. To maintain a professional relationship with teachers and staff, and to respect the boundaries they set.
Retreat Cancellation Policy
We do not offer refunds of any kind for the retreat deposit. Refunds for the balance payments vary depending on timing. Should you need to cancel with more than 30 days until the retreat date, you will be refunded 100% of the total amount (less deposit). Should you need to cancel within 30 days of the retreat date, 70% of the total amount (less deposit) will be refunded. Finally, under no circumstance will there be any refunds given for cancellation requests made within 14 days of the retreat date. Exceptions cannot be made for any reason, including weather, injury/illness, or personal emergencies. We do not offer refunds or credit for a guest who fails to attend, arrives late, or leaves early. Naturally, no one books to cancel or postpone their retreat, but unexpected things may happen, so please consider purchasing travel cancellation insurance. If in the unlikely event, we should have to cancel the retreat for any reason, you may transfer your full retreat payments for the rescheduled retreat event / or you may request a refund of your payment amount. Organisers are not responsible for your expenses incurred in preparation for any cancelled retreat, such as airline tickets, loss of work, and/or other costs associated with preparing for your trip.
